Booking Procedure

Once a booking request is submitted via our online system, you will receive an auto-generated booking summary via email. A booking contract is only established upon our confirmation of your deposit payment. If the deposit is not settled within 3 days, the booking may be cancelled unless another agreement has been made. The primary booker must ensure all payments are completed promptly. Rates are for the entire property, not on a per person basis.

Payment Details

A deposit of 25% of the total or a minimum of £400 (whichever is higher) should be paid within 3 days of the booking request. The outstanding amount is due 56 days before arrival or on an agreed date. In case of non-payment by the agreed date, we retain the right to cancel the booking. For bookings made within 56 days of arrival, full payment is required within 3 days, unless another agreement is in place. A £250 security bond is levied on the card used for the final payment from a day before arrival till 7 days post-departure. This is reserved for any potential damages or extra cleaning expenses.

Coronavirus Advisory

Given the global situation around COVID-19, we understand the apprehensions regarding booking commitments. Our cancellation terms are framed to be as fair as possible. Should your reservation need to be cancelled due to national lockdown measures, options for a date change or a full refund will be available. We urge you to procure travel insurance for unforeseen circumstances. While we can’t endorse any specific policy, you may explore options at the given links or consult other sources.

Guest Cancellation Policy

We recommend UK travel insurance to mitigate unforeseen cancellation costs.
In case of cancellation:

  • Due to UK government-imposed COVID-19 restrictions: We offer acredit voucher for the full booking value or a complete refund.
  • More than 56 days before arrival for other reasons: A deposit refund is given if we manage to rebook the property. Otherwise, the deposit is forfeited.
  • Less than 56 days prior to arrival for other reasons: No refunds unless we secure another booking for the same dates. The refund would then match the value of the new booking up to the original booking amount.
  • Should we have to cancel your booking, you will receive a full refund.

Date Amendments

While we may consider date changes post booking confirmation, we aren’t obliged to. In case of rescheduling due to COVID-19 guidelines, we’ll offer alternate dates, credit vouchers, or a full refund.

Liability Limitations

If the property becomes unavailable for reasons such as emergencies, government restrictions, or prior guests contracting COVID-19, our
responsibility is limited to refunding all received payments or offering a credit voucher for a future stay.

Coronavirus-Related Illness

Guests are expected to be in adherence with the UK/Scottish Government’s cleaning protocols. Should any member of your party show symptoms or test positive for COVID-19 within 10 days prior to arrival, you must notify us and reschedule your stay.

Property Use

The rental period begins at 4 pm on the day of arrival and ends at 10 am on the departure date. The number of guests should not exceed the agreed limit, and the property shouldn’t be used for non-agreed purposes.

Care of the Property

Please respect the property, its furnishings, and its surroundings. Ensure the property is left in a tidy condition upon departure. Issues During Your Stay For any issues or breakages during the stay, contact us promptly. Costs for damages might be deducted from the security bond, with exceptions for minor incidents.

Entry Rights

We reserve the right to enter the property for necessary maintenance, inspections, or repairs. Personal Belongings All personal items brought to Oak Tree Hideaway are at the owner’s risk. For items left behind, we will attempt to return them, with potential postage
charges borne by the owner.

Acceptance of Terms

Booking with us indicates your agreement to these terms on behalf of your entire group.
